Turn the proposal into a dated cash plan
Ask each provider to prepare its quote using identical compensation, role and start-date assumptions. Have it separate recurring payroll charges from amounts accrued for a later payment. Your finance team can then distinguish a monthly expense estimate from a cash transfer that falls in a particular month. This is a budgeting exercise; the provider must confirm the current local rules that apply to the role.
Four questions for the quote call
Which figures recur, and which are accrued?
Request an itemized employer-cost schedule. Ask which entries are percentages, flat amounts or estimates, and when each amount is actually paid.
When do approvals and funding happen?
Get deadlines for salary changes, expenses and payroll funding. Ask what happens if a US holiday affects your bank transfer.
Does the offer match the payroll setup?
Compare the promised compensation and benefits against the draft contract and the sample payroll explanation. Have a named person resolve inconsistencies before signature.
What happens when the budget changes?
Ask how the provider communicates changes in employer charges, benefits pricing or its own service fee, and how much notice your finance team receives.
A buying scenario
For a three-person customer-support team, ask for a normal-month invoice and an example of a month with additional payments. The difference may matter more to your working-capital plan than a small difference in service fees.
