Compare the operating workload left with your team
Ask a provider to walk through one complete month, from approved compensation to employee support. Make a short list of actions your company must take and the deadlines attached to them. Compare that list with a second proposal. The goal is to identify responsibility gaps before a payroll cutoff or benefits question makes them urgent.
Four questions for the quote call
What benefits does this quote actually buy?
Ask for the package offered to the employee, coverage start date, dependent options and a clear distinction between included administration and the cost of coverage.
Who funds payroll, and when?
Request the invoice date, funding deadline, supported transfer method and the process for a delayed payment. Confirm which party checks that funds have arrived.
What information must your company maintain?
Ask who submits expenses, leave, compensation changes and changes in work location. Request the escalation route when your normal approver is away.
Can the setup expand to a small team?
If you expect a second or third hire, ask which steps can be reused and which must be completed separately. Confirm how fees change with active headcount.
A buying scenario
A two-person finance team supporting a new Costa Rica-based employee should compare an example monthly workflow alongside the commercial quote. The better fit may be the provider with clearer approval and escalation steps, even when both advertise the same fee.
Your next step
Select for a clear month-one workflow. Written responsibilities make the arrangement easier to run as the team grows.
